wedding coordination: must ask questions

If there’s one vendor we know you can’t live without on wedding day; it’s your wedding planner/coordinator. You’ve spent all this time planning; you want to enjoy your day. That’s where your coordinator comes in. They’re there to ensure that every vendor is on time, to help guests find seats, and to make sure the wedding party and ceremony are on time, they truly can do it all to keep the stress away from you!

 

But what’s the difference between a wedding planner and a wedding coordinator? Kelsey Broussard, The Springs Regional Coordination Manager explains it like this:

 

“A wedding planner lives up to the “planning” name! They are planning every part of your wedding either solo or alongside you. This solely depends on the amount of help you prefer. They are there from start to finish performing budget creation, design, vendor research, and selection. A wedding Coordinator is present on the Day of your event to ensure that all the wedding plans you have created come together. A wedding Coordinator is perfect for couples who have found their venue, and all of their vendors and compiled the logistics of their special day and really just need someone to run the show.”

 

1. Are you a certified wedding coordinator? How long have you been coordinating? Are you insured? 

Yes, a wedding planning certification is a thing! Asking these questions will help you get a feel for the planner’s experience and the types of weddings that they have coordinated in the past. Insurance also it’s required at The Springs, but it’s still good to know! 

 

2. Are you available on my wedding date?

When you book with The Springs Coordination Service, we ensure to have someone for each client, no matter your Springs Venue or event date.

 

3. Have you ever coordinated a wedding at my venue?

This is such an important question to ask when it comes to hiring a wedding coordinator. Hiring a coordinator who is familiar with your venue is crucial so they can appropriately direct your vendor team on wedding day. That’s one huge bonus you get with The Springs Coordination Service!

 
4. Do you have a contract and what is your cancellation policy? Are there additional fees? (service charges, gratuities, taxes, etc.)

These are important questions to ask every vendor that you interview. These questions can save you lots of money in the long run, just by being informed about the company’s policy + contract details.

 

5. What kind of packages do you offer? What is the pricing for each?

This question is important because many planners and coordinators offer both services or even a balance between planning and coordinating. Before asking this question, ask yourself how hands-on you want to be with your wedding planning, or if you’d rather someone else take the reigns so you can sit back and enjoy!

 

6. How many phone calls/meetings are included with our planning/coordination package? What is the best way to contact you throughout the planning process?

With The Springs Coordination Services, a series of 3 planning meetings online or in person will start 3-6 months prior to your event date, depending on when you book. but our team is available anytime during office hours (9am-5pm Mon.-Fri.) for questions! 

 

7. Which parts of the planning process do you take care of and which parts am I responsible for?

Whether you book a wedding planner or coordinator, your answers will vary. Based on what our lovely Kelsey explained at the top of the Blog, a full wedding planner takes on more than a coordinator will. For example, The Springs Wedding Coordinators are responsible for creating your wedding day timeline, floor plan, and delegation and communication of your event’s vendors. While you are responsible for selecting these vendors and meeting with them to explain your vision and desires.

 

8. When it comes to other vendors, do you have any recommendations? Will you attend my other vendor meetings?

Planning a wedding isn’t easy, so a coordinator who helps where they can is always a blessing to have! Our coordinators here at The Springs do have recommendations when it comes to vendors in your area, or you can save some time by booking our amazing wedding package! The Springs Day of Coordination Services does not attend initial vendor meetings. Any information from these meetings is usually relayed to your day-of-coordinator as you meet with them closer to your wedding date.

 

9. Will you help me create a wedding day timeline? Floor plan? What about the creation of an overall wedding budget?

This is an important question to ask when hiring a wedding coordinator because lots of coordinator answers will vary on subjects like these. Additionally, you may not need or even want help in these areas – depending on how hands-on you’d like to be with your wedding. The Springs Coordination Services does help with floorplan creation, they are familiar with what works well in our Springs Venues with varying guest counts. The Springs Coordination will also help create and implement your wedding day timeline. Out of these examples, the only thing our coordinators don’t help with is budget creation or tracking, but we are always there to give our best advice!

 

10. In case of inclement weather, will you help me create a Plan B for an indoor ceremony and reception?

A quality coordinator will always have an inclement weather backup plan that is just as beautiful as your original! The Springs Coordination Services are always one step ahead and will provide awesome backup plans, should the weather disrupt your day. 

 

11. Do you help plan/coordinate the rehearsal dinner?

It is always so helpful to have your wedding coordinator at your rehearsal! This gets everyone on the same page and gives you and your coordinator a chance to recognize any final tweaks or changes that need to be made. The Springs Coordination Services are available for rehearsal coordination upon request.

 

12. Will you be onsite the day of the wedding or will you be sending someone?

Some coordination services, like The Springs, have a whole team of coordinators so they can produce multiple events in one day. It’s always nice to know who you will be working with so you aren’t surprised on wedding day!

 

13. Will you provide the other vendors with this timeline? If so, when will this timeline be created and sent to other vendors? 

Timeline creation and implementation is the biggest task for your wedding coordinator. While they are very helpful in countless other ways, a smooth timeline is the bread and butter of a great wedding coordinator. For example, The Springs Coordinators will communicate the Event Timeline with other vendors as long as we have the contact information for the vendor. A rough draft timeline is created after the first planning meeting. This working timeline will then be sent out for the first time after your second meeting 8-10 weeks prior and again 2 weeks prior to wedding day.

 

14. What time will you arrive/depart on the day of the wedding?

This answer will always vary depending on how intricate your vendor list, timeline, and other wedding details are. Be sure to book a coordinator who is flexible and who can do whatever best fits your needs.

 

15. If we run into any issues throughout the planning process, what level of advocacy can we expect from you since we are booking day of coordination? 

Day-of-Coordination is usually exactly that. Coordinators are always there to help you troubleshoot your issues based on the available resources, but usually cannot make promises or be held responsible for other vendors.

 

16. Do you help set up/decorate? What about breakdown/clean up at the end of the evening?

This is a very important question to ask your wedding coordinator. When it comes to setup and tear down of decor, you don’t want anything to be forgotten. Communication when it comes to set-up is key! Due to other wedding-day responsibilities, The Springs Coordination Service does not help set up any florals or decor, but encourages you to hire a professional decorator or florist who can provide you with the best professional look for your event. At the end of the evening, The Springs Coordination Service will help you pack any of your personal items, but doesn’t assist with vendor breakdowns.
