wedding planning q&a with a springs coordinator

Wedding planning can feel like a whirlwind of excitement, inspiration, and let’s be honest—a little bit of overwhelm. To help couples start strong and stay organized, we sat down with a seasoned wedding coordinator to answer some of the most common questions newly engaged couples have.

What’s the very first step you recommend once a couple gets engaged?

Before booking anything, sit down with your partner and your families. Have an open conversation about what matters most to you both: your priorities, your values, and your vision for the day. From there, create a realistic budget together and begin researching venues and vendors that align with your goals.

What timeline benchmarks are most helpful to set early on?

Start with your budget as it’s the foundation for every decision that follows. Once you know your financial parameters, you can determine your guest count, what areas you want to splurge on, and where you can be more cost-effective. From there, you can confidently move forward with booking your venue and key vendors.

What’s a common misconception couples have about the planning process?

That planning is only about the design, looks, and materialistic things when in reality, it’s about logistics, timelines, budgeting, and creating a memorable and seamless celebration for you cherish for generations.

How do you advise couples to prioritize spending when everything feels important?

It all comes back to communication and shared priorities. Sit down together and list out what’s most meaningful to each of you. For example, I wanted to honor my grandmother by incorporating her professional floral work into my wedding, while food was a top priority for my husband. Your priorities don’t have to match—they just need to complement one another.

What hidden costs or overlooked expenses do you see most often?

Postage for invitations is a sneaky one! Couples also forget to include a built-in buffer in their budget for guest count increases or unexpected damages that may occur after the event. A small contingency fund can make a big difference in reducing stress later on.

What are your best tips for keeping planning stress low?

Break your tasks into manageable monthly goals. During planning, we like to guide couples with a checklist after each meeting, focusing on what needs attention now and what can wait until closer to the event. This structured approach prevents last-minute chaos and helps couples enjoy the process.

How can couples divide tasks fairly without one person feeling overwhelmed?

Lean into your individual strengths. If one of you is detail-oriented, maybe they handle timelines or communication with vendors, while the other focuses on creative elements or big-picture decisions. We’ve found that the most seamless wedding days come from couples who share the workload intentionally.

Any advice for navigating family input or differing opinions?

Set clear boundaries early and present a united front. Remember, this is great practice for marriage, too. Discuss any concerns privately with your partner first, and then address them together as a team when speaking with family. It helps everyone stay focused on the bigger picture: your love and commitment.

Have you seen a small planning decision make a huge difference on the wedding day?

Absolutely! Hiring a day-of coordinator (or better yet, a planning team) makes a world of difference. Having professionals lead your timeline, manage vendors, and troubleshoot behind the scenes allows you to be fully present and actually enjoy your day.

Are there current trends couples should consider or skip based on real wedding experiences?

We’ve seen sparkler exits linger since 2012, but they come with safety concerns (and singed sleeves). Instead, opt for cold spark machines—they’re stunning, safe, and make for incredible photos. Another tip: skip overly trendy TikTok aesthetics that don’t truly represent you. Your wedding should feel timeless and personal, not like a passing trend.

What unique personal touches have you seen recently that couples loved?

Some favorites include:

  • Signature drinks inspired by the couple, their pets, or special milestones like their first date or proposal

  • Custom gallery-style welcome signage featuring framed photos of the couple

  • Replacing traditional cake cutting with a personalized dessert moment

  • Voice recordings from loved ones integrated into the ceremony or reception

These details make your wedding feel like a genuine reflection of who you are together.

If you could give every couple just one piece of advice, what would it be?

Center your focus on the meaning of your marriage, not just the wedding day itself. The celebration is beautiful, but the real magic lies in building a life together. Support each other, cherish each moment, and remember—the wedding is only the beginning!
